Set, Edit, or Delete a Training Agreement Freeze

Agreement freezes allow clubs to temporarily pause a member's agreement when they need to take a leave from the club, such as for vacation, relocation, or injury.

When an agreement is frozen scheduled invoices do not generate and time-sensitive sessions associated with those invoices do not generate.

This article explains how to:

  • Create a freeze
  • Edit a freeze
  • Delete a freeze 

Important Reminder: Agreement freezes are not compatible with billing date changes. If one or more scheduled payments have been moved from their original billing dates, the agreement cannot be placed on a freeze.

 

Freeze Status Types

  • Future Freeze: A freeze that is scheduled to begin on a future date.
  • Active Freeze: A freeze that has already started and is currently in effect.

 

Create a Freeze

Step 1: Open the Agreement

  1. Navigate to the member's Club Services page.
  2. Locate the agreement you want to freeze.
  3. Click the Edit icon.

 

Step 2: Open Freeze Agreement

  • Click Agreement Actions 
  • Select Create Freeze Agreement

 

Step 3: Configure the Freeze

The Freeze Agreement page appears.

 

Select a Start Date

The Start Date must:

  • Be at least one day after the current date.
  • Occur before the agreement expiration date.

This restriction prevents clubs from freezing an agreement on the same day an invoice generates.

Note: Agreements that have not yet started may still be scheduled for a future freeze.

 

Select an End Date

The End Date must:

  • Be at least one day after the Start Date.
  • Include at least one billing date.

Billing dates included in the freeze are identified by a black triangle containing a dollar sign.

Note: Future freezes can be edited or deleted until the day before the freeze begins. For example, if a freeze is scheduled to begin on June 9th, it can be edited or deleted through June 8th.

 

Step 4: Save the Freeze

Click Save Freeze. Once saved invoices scheduled during the freeze period will not generate and associated time-sensitive sessions will not generate.

Note: Calendar events scheduled during the freeze period remain on the Club OS calendar and must be removed manually if desired.

 

Step 5: Verify the Freeze

Return to the agreement page and confirm that the agreement status displays the scheduled freeze dates.

 

 

Edit a Freeze

Freeze Editing Rules

  • For a Future Freeze, both the Start Date can be edited End Date can be edited.
  • For an Active Freeze, only the End Date can be modified. Once a freeze becomes active, the Start Date can no longer be changed.

 

Step 1: Open the Agreement

  1. Navigate to the member's Club Services page.
  2. Locate the agreement you want to freeze.
  3. Click the Edit icon.

Step 2: Open Freeze Agreement

  1. Click Agreement Actions 
  2. Select Edit Agreement Freeze 

 

Step 3: Edit the Freeze

The Edit Agreement Freeze page appears.

The revised End Date must:

  • Occur after the Start Date.
  • Occur after the current date.

The End Date cannot be extended beyond one day before the final billing date originally suspended by the freeze. If an invalid End Date is selected, a warning banner will appear.

If a freeze is ended early:

  • The suspended invoice is generated immediately.
  • The member's sessions become available once that invoice is paid.
  • The member can return to using sessions without waiting for the next billing cycle.

Note: The automatically generated invoice appears as Past Due and will attempt to auto-draft daily for up to three days if it is not immediately paid.

Step 4: Save Changes

Click Save Freeze.

 

Step 5: Verify the Changes

Return to the agreement page and confirm the updated freeze dates appear in the agreement status.

Note: To review historical freeze activity, refer to the Frozen Agreement Report or the agreement's Invoice Information section.

 

Delete a Freeze

Freeze Deletion Rules

  • For a Future Freeze, the freeze can be deleted. 
  • For an Active Freeze, the freeze cannot be deleted. 

 

Step 1: Open the Agreement

  1. Navigate to the member's Club Services page.
  2. Locate the agreement you want to freeze.
  3. Click the Edit icon.

Step 2: Open Freeze Agreement

  1. Click Agreement Actions 
  2. Select Edit Agreement Freeze

Step 3: Delete the Freeze

The Edit Freeze Agreement page will appear and click Delete Freeze.

 

Reminder: The Delete Freeze option is only available for future freezes. Once the freeze becomes active, this option is removed.
