Comping an Invoice Through ClubOS

Comping an invoice allows club staff to grant a member's sessions at no charge by waiving payment for the invoice. When an invoice is comped, the associated sessions are released and become available to fund past or future sessions.

Note: Comps are not the same as write-offs. Write-offs void unpaid invoices and do not release sessions. Comping an invoice waives payment while releasing the sessions tied to that invoice.

 

Comp an Invoice

Step 1: Open the Member's Service Agreement

  1. Navigate to the member's profile.
  2. Select Club Settings.
  3. Click Club Services.

 

Step 2: Edit the Service Agreement

  1. Locate the Member Service Agreements section.
  2. Find the service agreement associated with the invoice you want to comp.
  3. Click the Edit icon.

 

Step 3: Open the Invoice

  1. Scroll to the Invoice Information section.
  2. Select the invoice you want to comp.
  3. Click Pay Now.

 

Step 4: Select the Comp Option

  1. On the Pay Invoice page, click Entire Invoice.
  2. The payment amount will automatically update to $0.00.

 

Optional: After selecting Entire Invoice, an additional option may appear allowing you to determine whether commission should still be paid even though the sessions are being provided at no charge. If your club pays sales commission on comped invoices, select Pay Sales Commission before completing the comp process.

 

 

Step 5: Complete the Comp

  1. Verify the payment amount is $0.00.
  2. Click Comp to finalize the invoice.

 

Partial Invoice Comp (Discounts, Coupons, or Special Offers)

You can also comp part of an invoice to provide a discount or promotional offer.

 

Example

If an invoice total is $100 and you want to discount $25:

  1. Have the member pay $75 toward the invoice.
  2. Once the partial payment is processed, the remaining balance will remain on the invoice.
  3. Comp the remaining balance.

 

Process

Step 1: Collect the Member's Portion

Process a partial payment for the amount the member is responsible for paying.

Note: A warning will pop up stating the sessions won't be released until the full invoice is covered. You can click ‘Continue’ to move forward.

 

Step 2: Comp the Remaining Balance

After the partial payment is applied, comp the remaining balance following the standard comp process outlined above.

 

Note: The member's portion of the payment will be marked as paid on the date the payment is processed. Any remaining balance that is comped will be marked as paid on the future invoice date.

 

Alternative Setup for Promotional Offers

You can create a package specifically designed for a partial comp promotion by:

  • Setting the package Base Payment to $0.
  • Using a future Start Date.

This allows you to control how much of the first invoice will ultimately be comped.

 

Additional Information

  • Comped invoices appear with the COMPED payment profile on the PT Transaction Report.
  • Comped invoices do not appear on the Accrual Revenue Report.
  • Comping an invoice releases sessions and makes them available to fund events.
