How Do I Set Trainers' Availability?

Club OS allows club staff to set their own availability. By doing this, employee are able to display which of their work hours are occupied by oncoming events and which hours are available for booking.

Note: Employees can not be scheduled for, either, events or follow-ups until their availability has been set.

 

Setting Availability

Click the 'Availability' link located within the Calendar tab.

The employee's schedule will appear.

Distinguish the frequency in which the employee's availability is meant to be applied toward: this week or every week. To set this filter, click the 'View Availability' menu located in the top-right corner of the calendar.

Check off any weekday in which the employee is not slated to work. Note: Setting this filter will prevent, both, calendar events and follow-ups from populating the employee's calendar on days in which they are not present.

For the days in which the employee will be at work, their availability statuses can be set in, either, half-hour increments or for a larger, customizable length of time. Each of these options are accomplished via separate features which are located in two different areas of the employee's calendar. Read below to see specifics on the various ways an employee can set their availability status and receive, both, events and follow-ups.

 

A. Half-Hour Statuses

On the employee’s schedule, each hour is is divided into two half-hour units. Each of those half-hour units contain two fields and an arrow (as seen along the left side of the calendar). This feature will set a single availability status to display for that half-hour during every day of the employee’s week. (Example: Establishing a consistent lunch break.)

To set an availability status, click the first field and enter the status’ corresponding number:

  • ‘0’: Unavailable. The employee is not currently available to receive, either, events or follow-ups within this half-hour window.
  • ‘1’: Available. The employee is currently available to receive, both, events and follow-ups within this half-hour window.
  • ‘2’: Double-Booked. The employee is currently occupied and is unlikely to be available to receive any additional events or follow-ups within this half-hour window.

If the employee’s half-hour is set to be repeatedly occupied by an identical event (Example: 4:30pm Class Yoga or 9:00am Personal Training), click the second field and select the appropriate event type.

Select 'Private Training' to set the availability for PT events. It is important to set this correctly to ensure that the event type appears on the AF app. Staff should not set their availability to 'any' event type.

Click the arrow to set the employee’s availability status across the entire week.

Upon completion, click ‘Save Hours’ -located in the top-left corner of the calendar.

 B. Customizable Statuses

1.

On the employee’s schedule, each day contains two fields and an arrow (as seen along the top of the calendar). This feature can set multiple availability statuses to display during customizable time frames set throughout the employee’s day.

To set an availability status, click the first field and enter the status’ corresponding number:

  • ‘0’: Unavailable. The employee is not currently available to receive, either, events or follow-ups within this time frame.
  • ‘1’: Available. The employee is currently available to receive, both, events and follow-ups within this time frame.
  • ‘2’: Double-Booked. The employee is currently occupied and is unlikely to be available to receive any additional events or follow-ups within this time frame.

If the employee’s time frame is occupied by an event, click the second field and select the appropriate event type.

Next, click the arrow to set the length of time in which the employee’s availability status specific time frame in which the availability status will be applied.
