The Member Profile window is used to quickly access and manage members from anywhere without requiring the user to disrupt their current flow to open the Member Management application. This window is accessed using the Quick Member Search found in the top right corner of the application.
Search for the member using the following search options and select the member from the search results.
- Account Number - searches against member account number, with or without the cardholder sequence number, and alternate ID (typically used to represent member's associated barcode number)
- Phone Number - searches against member phone numbers, including home, mobile, and work
- First Name
- Last Name
The Member Profile panel displays key member and account information - see below for explanations.
- Use the Edit option to add or update the member's profile picture
- The member's name. This will also include a bell icon that will indicate if there is a note on the member's account that needs attention (see Using Member Alerts)
- The member ID. This will display the member's account number followed by a sequence number. The sequence number indicates if this member is the primary account holder, the second card holder, etc.
- The Card Code field will display the offer code associated with the membership
- The member's phone number
- The member's email address
- The member's current account status. This will display if the member is on a Statement account, whether it's open-ended or term, if the account is paid in full (PIF), or if the account has been returned. If a returned account has been sent to a 3rd-party collections agency, that will be indicated here.
- If the member has a past due balance, it will be displayed here. Select this balance to initiate a MyPOS transaction to pay the past due amount (see Paying ASF Dues and Add-ons in MyPOS)
- If your club is using the ASF Branded Mobile App, powered by My PT Hub, then you will be able to see a notice indicating if this member has an active mobile account set up. You can also use the Send Password Reset link if the member needs to reset their password
Apps
Below the member information, you will find a list of My Club Business applications. Each of these will link you to functions specific to that application for the member.
Account
Selecting Account will take you directly to the member's account in Member Management
Contact
The Contact option displays the membership billing contact and members on the account. Users with permissions to Club OS for clubs integrated with Club OS have an envelope icon available to easily open the Direct Contact page in Club OS with member contact options.
Scheduler
Selecting Scheduler will provide you with the following options:
- Member Schedule: View the member's scheduled events, if they have any
- Member Notes: View, add, or remove any member alerts for this account (see Using Member Alerts)
- Member Inventory Items: View the session items a member has purchased to be used when scheduling for events
- Member Pin: Add a member PIN that is used when checking in to an event
MyPOS
Selecting MyPOS will provide you with the following options:
- Transaction History: View the members Point of Sale transactions. This should also be used for returns (see Returns and Voiding Transactions)
- Pay Add-ons: Launches a MyPOS transaction to allow the member to pay for any add-ons that are due or past due
- Pay Member Dues: Launches a MyPOS transaction to allow the member to pay for any member dues that are due or past due
Replace
Selecting Replace will initiate an account replacement in Member Enrollment
Renew
Selecting Renew will initiate an account renewal in Member Enrollment
Belt Tracker
Selecting Belt Tracker will provide information specific to any programs the member is enrolled in
