Managing Lockers

The Lockers feature allows clubs to manage and assign lockers to members directly within the system. Rather than tracking locker assignments in a separate spreadsheet or on paper, all locker information is stored in one place and tied to member accounts. This makes it easy to see who has been assigned a locker, when their access starts and ends, and any relevant notes — all from a single screen. The locker list can also be exported to Excel for reporting, audits, or end-of-term reviews when reassigning lockers.


Adding a New Locker

  1. Click Add New Locker from the main Lockers screen

⚠️ Once inside the Locker Info screen, do not click Add New Locker again — this will create additional blank locker entries.

  1. Once in the Locker Info screen, click Edit at the bottom to enter details


Entering Locker Details

Information can be entered manually or by using the Search function on the right side of the screen.

To search for a member:

  • Enter the member's last name only — it must match exactly as it appears on their account
  • Matching accounts will load below the search field
  • Use the dropdown to select the appropriate member account
  • Their information will auto-populate into the locker details

Locker Info fields:

Field Description
Client Club number
Account Member's account number
Seq Sequence number of the member on the account — the buyer is 1, additional members are 2, 3, 4, etc.
Name Member name
Locker Number The locker number being assigned
Locker Seq The placement number of the account in the locker list
Rep Rep who added the locker (optional)
Start Start date for locker access or when the membership began — for tracking purposes only
End End date for locker access or when the membership ends — for tracking purposes only
Combination Combination code for the locker, if applicable
Alt Acct Alternate account number such as a fob or keytag number
Gender M or F — defaults to M if nothing is selected
Remarks Additional notes about the locker

ℹ️ Start and end dates are not system-controlled — they are for tracking purposes only and do not automatically grant or restrict locker access.

  1. Once all information has been entered, click Update to save the locker

Editing or Deleting a Locker

To edit an existing locker, double-click anywhere on that locker's line item from the main Lockers screen. This will open the Locker Info screen where you can make changes or click Delete to remove the locker.


Additional Options

From the main Lockers screen:

  • Click Export to download the locker list to Excel
  • Click any column header to sort the list by that column
