ClubOS + Welld Integration (more info)

ClubOS now integrates with Welld, a fitness benefit verification and reimbursement platform that helps clubs serve members participating in insurance-sponsored and employer-sponsored fitness programs.

Once connected, the integration automatically creates prospects, syncs member data, tracks visits for reimbursement, and manages memberships based on each member's benefit eligibility — all without manual data entry from your staff.

What the integration does:

  • Duplicate prevention — Matches on name, email, and birth date before creating any new record
  • Prospect creation — Automatically adds new prospects to ClubOS when an unrecognized member verifies through Welld's portal
  • Member sync — Runs daily checks to ensure member connections between the two platforms stay intact
  • Visit tracking — Imports ClubOS check-ins to Welld daily, plus a 90-day retroactive import for newly connected members
  • Membership management — Cancels memberships for members who lose benefit eligibility (note: cancellation requires active add-ons to be removed first)
  • Account notes — Posts notes to ClubOS accounts after key integration events so your team always has a clear activity log

MMS

New Features

  • Clubs can now set a minimum age requirement for online sign-up to prevent minors from enrolling without in-person verification. This setting is configurable under Client Preferences.
  • The Online Check-In screen now displays the membership type, member/prospect badge, and alert details for each check-in entry in the Recent Check-Ins list and Recent Attendance view.
  • Added a new client preference that allows administrators to prevent staff from changing ACH customers to credit card billing, with an override option available for admin users.
  • The Add-On Services Detail report now includes a cancellation reason column and updated status labels (Active, Active - Pending Cancel, Canceled, Deleted, Ended) for improved tracking of add-on lifecycle changes.

Bug Fixes & Improvements

  • Addressed an issue where add-on charges could be manually generated beyond the expected total payment count, with incorrect due dates, or for expired recurring add-ons.
  • The Returns report now includes member demographic and contact information directly in the report when the Directory toggle is enabled.
  • Addressed an issue where the number of available visits was not calculated correctly when updating a prospect with a new prospect offer which includes visits.
  • Improved the performance of slow-running queries related to retrieving client information, reducing load times and preventing potential service disruptions.
  • Improved Online Check-In screen performance, significantly reducing member name search times and resolving an issue where the check-in display could stop auto-refreshing on slower network connections.
  • Addressed an issue where in-app announcement content was blocked from rendering within the MyClubBusiness dashboard.
  • Improved duplicate handling for enrollment scenarios when prospects are enrolled again under a prospect offer. Replacement logic will now be used to maintain a historical record.
  • Resolved intermittent report loading failures by optimizing the permissions check, reducing report list load times significantly.
  • Addressed an issue where recurring payment method change settings were not available within Client Preferences > Mobile App > Location Settings as intended.
  • Addressed an issue within Member Management > Add Ons / Account Charge where some add-ons displayed a blank status instead of showing the correct status label.

EntrySentry

  • The EntrySentry access control application now supports Huzzard barcode and QR code readers in addition to existing scanner models.
  • Staff can now manually open and close the gate directly from the EntrySentry taskbar menu, allowing entry for guests or members whose scan failed without needing to access the door controller directly.

API Updates

  • Addressed an issue where the member events API could return event data associated with the wrong member when multiple members were enrolled in the same event.

 

Billing

Bug Fixes & Improvements

  • Addressed an issue in Online Check-In where a member's past due balance was not flagged after a recent payment decline.
  • Updated the mailing address displayed on billing statements to reflect the correct return address.
  • Addressed a mismatch where PDF billing statements displayed incorrect past due amounts compared to the actual account balances shown in the system.
  • Addressed an issue where future-dated invoices could not be selected for payment through Point of Sale; staff can now collect payment on upcoming dues directly from the POS screen. 

 

CRM

Bug Fixes & Improvements

  • Addressed an issue where some new members were not being sent the member join response as expected.
  • Addressed an issue where forms created or edited in the Pages Form Builder would display a "Page Not Found" error when accessing the generated link.
  • Addressed an issue where deleted events were incorrectly persisting in the Scheduled Events section after refreshing. 

 

MyClubAccess

Bug Fixes & Improvements

  • Events now remind members whose current agreement is inactive to contact the club for renewal.
  • The My Calendar page now reminds members whose current agreement is inactive to contact the club for renewal.
  • The home page now reminds members whose current agreement is inactive to contact the club for renewal.
  • Trainer photos now appear in the Class Schedule and My Calendar views making it easier for members to recognize who is leading the class.
  • Improved tab layout across the MyClubAccess app so that tabs are now displayed below the page header
  • Members can now view their past class and event attendance on the History tab. Primary billing members are able to see activity of all family members.
  • Class Schedule now displays more detailed information on class size and current spaces left giving members a clearer picture of class capacity when deciding to book.
