Rescheduling Follow-Ups

Overview

Club OS allows you to reschedule follow-ups in bulk so they are redistributed across new dates. You can spread follow-ups across multiple days or move them to a single date. You can also reschedule all follow-ups or only a portion (using filters or limits).

 

Before You Start

  • You must have the correct permissions to access this feature
  • If you don’t see the option, a Club Admin may need to enable it (Permissions Breakdown)

 

How to Reschedule Follow-Ups

Step 1: Access Reschedule Tool

  1. Go to User Search
  2. Click Search Actions (top of screen)
  3. Select 'Reschedule Follow-Up'

Step 2: Select Date Range

  • Choose a Start Date and End Date
  • Follow-ups will be evenly distributed across the selected days 

 

 

  • You can reschedule across a date range
    • Example: 100 follow-ups across 4 days → 25 per day

 

  • To move everything to one day, set the same start and end date

 

IMPORTANT: This tool does not check staff availability, so it could overload a team member’s follow-up queue

 

Step 3: Choose Follow-Up Type

Select which follow-ups to reschedule:

  • Membership
  • OR Personal Training (PT)
  • OR Both

 

Step 4 (Optional): Set a Limit

  • Use the Limit field to reschedule only part of your follow-ups
  • Example: Enter “50” to reschedule only 50 follow-ups

Note: Follow-Ups will be selected starting from the top of your User Search results (in alphabetical A–Z order), then rescheduled.

 

Step 5: Apply Changes

  • Click 'Go' to complete the reschedule

 

Rescheduling Overdue Follow-Ups Only

How to Filter Overdue Follow-Ups

  1. Go to User Search
  2. Scroll to the Time Range filter on the bottom left hand side
  3. Select: 
    • Follow-up (M) Date (Membership)
    • OR Follow-up (PT) Date (Personal Training)
  4. Set:
    • Start date = Leave blank
    • End date = A previous date 

Note: This will isolate all overdue follow-ups up to and including the previous date in the right hand calendar box, if the left hand calendar box is left blank. (For example: if you select yesterday's date in the right hand calendar box and leave the left blank, all overdue follow-ups up to and including yesterday would display in the User Search results)

 

 

 

 

Best Practices

  • Spread large volumes across multiple days to avoid overload in an employee's follow-up queue
  • Use the 'Limit' field when testing or making partial adjustments
  • Always double-check team capacity before rescheduling follow-ups
