Online Check-in Overview

ASF offers Online Check-In (OLCI) for the club to utilize. This helps eliminate the members from bottlenecking at the front counter when trying to get a workout in. There are a variety of ways to use the OLCI application:

  • 2D Scanner – Teslin Membership Card
  • Search by Member/Cardholder/Prospect Name
  • 2D Scanner - MMA Mobile App Barcode
  • Search by ASF Member Account Number

2D Scanner

For clients to use a 2D scanner, they will need the hardware setup to work with their computer system. Clients MUST use a specific 2D scanner to work with MCB: a Honeywell 7580g. Clients should contact their Account Manager to get their hardware set up with Tech.

Clients should have their 2D scanner set up near the front of the facility so that members have quick access to check in when they enter the facility. Members can use either a Teslin card (if the club uses physical cards) or the digital card from the My Member Account Mobile App to check in

 

Manual Search

Clients can also manually check members in using Online Check-in by searching for the member. This should be done if the client has an employee manning the front desk who can manage check ins. To do this:

  1. Navigate to Online Check-in from the My Apps page
  2. The client can uncheck any of the boxes listed below the search criteria to limit the search by the type of individual needing to be searched.

  1. The client can use the members 7-digit ASF Account Number plus their 2-digit sequence number to pull up the account immediately, and the member will be checked in. The member's name will appear in the upper-right, and the confirmation will show in the lower-right of the screen.

  1. If the 7-digit ASF Member Account Number plus their 2-digit sequence number is not known, the client can look up the member by First Name and Last Name, then pick the correct account and the member will be checked in:

Member Check-in Information

If the client needs to see the Card Code, Expiration Date or an issue of a member that just signed in, they can view it under the search area or by clicking on the I icon next to their name under Recent Check-Ins

Note

The member that most recently checked in will auto-populate this information. If the user wants to see the information of a member that already checked-in but not the latest check-in, that’s when they will click on the I icon.

 

If the client needs to view a checked-in members profile, click on the member's name under Recent Check-Ins. This will open the Member Profile Panel to the right

For My Scheduler/Check-in specific functions, the client will need to select Scheduler, which will open the My Scheduler member functions:

  • Member Schedule: This will display member’s Future or Past scheduled events
  • Member Notes: Can be used to view any created notes for this member
  • Member Inventory Items: This should be used by clients to review the available session items (buckets) the member currently owns
  • Member Pin: This option should be used to reset the member’s PIN if needed. This will only display for clients using member PINs

Upcoming Schedules Breakdown

The client can see the Upcoming Schedules Breakdown on the left of the screen. This will display all upcoming events for the current day

By hovering over the event, the client can see the currently scheduled members. Selecting the event will also allow clients to schedule more members to the event (Search) and check in the currently scheduled members

Clicking the Category/Event Type/Series name in this view will open the respective section in My Scheduler.

New members can also be easily scheduled to these events by:

  1. Searching for the member using the Quick Member Search

  1. Click and drag the member’s tile onto the event in the Upcoming Schedules Breakdown

Members can also be checked into events. Select the event from the Upcoming Schedules Breakdown, then check in the member/prospect as normal (see My Scheduler Day to Day Operations). This process can also be used to mark members absent as normal.

Check-in View

The Check-in view of My Scheduler can be accessed from Online Check-in as well by selecting the icon from the top of the page. This should be used by clients that generally use the Check-in view of My Scheduler to manage member event check ins. Member Does Not Attend Event

  1. If, for any reason, a member does not attend the event, click on the 3-dots to the right of the person checking in
    • Select the appropriate reason for the non-attendance
      • Free Absence – member/prospect will not have a deduction in buckets
      • Paid Absence – member/prospect will have a deduction in buckets
  • Cancel Member – member/prospect is removed from the event and, if there is a waitlist, the next member/prospect in line will be scheduled;
