Use this process to reassign Follow-Ups from one employee to another for multiple Prospects and/or Members at once.
Step 1: Search for the Users
- Go to User Search.
- Use filters to find the accounts you want to transfer:
- Under Role, click “None” to clear selections, then choose:
- Prospects
- Members
- Or both
- If transferring Prospects:
- Set the Prospect status dropdown to “All” (not just Active or Inactive)
- Use Location filters to ensure Follow-Ups are assigned to the correct location
- Under Role, click “None” to clear selections, then choose:
- Under Assigned Follow-Up Employee, select the employee you are transferring from (for Membership and/or PT Follow-Ups).


Note: Check the “Include Deleted” box at the bottom of the filters (This ensures no eligible accounts are missed, including those that could be reactivated later.)

Step 2: Open Transfer Tool
- Scroll to the top of the page.
- Open the Search Actions dropdown.
- Select Transfer Users.

Step 3: Set Transfer Details
In the Transfer Users window:
- Select the employee(s) to transfer to
- You can add one or multiple employees
- If multiple employees are selected, Follow-Ups will be evenly distributed
- Distribution is done in alphabetical (A–Z) order based on the User Search results list
- Choose what to transfer:
- Membership Follow-Ups
- PT Follow-Ups
- (Optional) Check Transfer Referrals to include referrals
- Transfer Count (optional)
- Leave blank to transfer all Follow-Ups
- Enter a number to transfer only a portion
- If only a portion is transferred, transfers begin with the first records in your User Search results (A–Z order), then distribute evenly.
- If only a portion is transferred, transfers begin with the first records in your User Search results (A–Z order), then distribute evenly.

Step 4: Complete Transfer
- Click Transfer
- Confirm the action when prompted
IMPORTANT: This action cannot be undone

Step 5: Confirmation of Transfer
- A confirmation message will appear on screen
- You will also receive an email notification once the transfer is complete
