The reporting tools in the ClubOS CRM give you quick access to key metrics that drive your gym’s revenue generation. Use them to monitor progress, identify trends, and make informed decisions.

General Reports

Opt-Out Report  The Opt-Out Report lists users that have opted out of email and/or text messaging at your club.  Data includes Opt-out Date, who performed the opt-out, and the date the prospect or member was created.  Opt-Out Report
Employee Productivity Report This report provides an overview of employee Follow-Up activity and membership sales for a selected date range. The report will show individual employee stats, Total Follow-Ups per employee, Closed % with and without follow-ups for the member, and how many times the employee logged into ClubOS within the requested date range. Prospecting Reports

Reports Available to All Customers

Daily Setup Report The Daily Setup Report lists all appointments scheduled to occur during a selected date range, who hosted the event, if it was rescheduled, and more.  This report can include past and/or future dates, and can be filtered by location. Daily Setup Reports
Follow-Up Audit Report This report provides data on Prospect Follow-Ups and their outcomes, and can be sorted by date range, location, and employee. Follow-Up Audit Report
Follow-Up Scorecard This report summarizes your Sales team's system usage and assigned Follow-Ups over the past 30 days. View location-specific data or choose "Group Locations" to view totals across multiple locations. Follow-Up Scorecard
Guest Log Report The Guest Log Report provides data on club tours that occurred during a selected date range.  Who visited, whether or not they purchased something during their visit, referrals, and how the member found out about a club.  Guest Log Report
Lead Origin Report

The Lead Origin Report provides data about Prospect and Member accounts and their activity, organized by Origin (such as Walk-in or Telephone Inquiry). This report is filtered by date range, location, and employee.

  • NOTE:  Unlike the New Prospect Report, it includes accounts that were created in Club OS as well as accounts that were created via an external billing integration and synced to Club OS.

Leads Contacted Two Times or Less Report

The Leads Contacted Two Times or Less Report displays a club’s entire population of Prospects who, either, possess a ‘Missed Guest’ status, OR have yet to progress to Stage #3 of the Membership Follow-Up Schedule. 

This aids staff in tracking Prospects who present a potential sales opportunity who already reside within the system. This report is filterable by Location and Employee. 

  • NOTE:  Prospects who are not on the Follow-Up schedule or assigned to a specific employee for Follow-Up, will not appear on the list.
Leads Contacted Two Times or Less Report
Leads Not Contacted Report

This report lists Prospects that have a 'Missed Guest' status or are at Step #1 in the Follow-Up Schedule and have not received a Follow-Up call, email, or text. It can be filtered by location or employee.

  • NOTE:  Prospects who are not on the Follow-Up schedule or assigned to a specific employee for Follow-Up will not appear on the list.

Membership Follow-Up Activity Report This report summarizes membership Follow-Up activity for a selected date and Month to Date.  Membership Follow-Up activity Report
Lead Source Report The Lead Source Report provides data about Prospect and Member accounts and their activity, organized by Marketing Source. This report is filtered by date range, location, and employee. Lead Source Report
New Prospect Report This report provides data about Prospect accounts in Club OS. It can be filtered by date range and location. If you select "All Locations", the report will display the data for each location on its own tab and will also contain a summary tab for all locations. New Prospect Report
Prospecting Scorecard This report provides data on your team's Follow-Up activity and guest pass outcomes with new Prospects, filtered by location. Prospecting Scorecard

Sales Activity Report

The Sales Activity Report summarizes a club's sales activity filtered by Date Range, Location, and Employee. 

NOTE:  Employees only appear on the report if they have completed one or more of these activities during the selected date range for the report (or the Month to Date):

  • Contact with a Prospect or Member (via Follow-Up or Direct Contact)
  • Attend and/or be the Event Owner of a Calendar event
  • Receive credit for a sale in the club's integrated, external billing system

Sales Opportunity Report This report lists sales opportunities and tours by employee.  Sales Opportunity Report
Sales Rank Report This report tracks and ranks sales performance at one or more locations. It can be filtered by date range and location. You can also use the 'Group Location' option to review each location’s collective output. Sales Rank Report
Sales Rep Production Report

This report provides information on sales opportunities (including appointments and walk-in visits) associated with each employee for the selected date range and location(s).

You can also use the Group Locations checkbox when generating this report to see the totals for a given location.

PT Inventory Snapshot This report summarizes PT activity by trainer, that will help you determine where your PT Revenue Opportunities are.  Data includes Used and Unused sessions, how many Expired Sessions there were, Un-Verified Sessions by Trainer, and more. PT Inventory Snapshot
PT Shot Sheet This report lists active PT clients, their most recent session, and how many sessions remain in their service package - enabling you to identify Members who are running low on available sessions and may want to sign up for more services. PT Shot Sheet
PT Sold Report The PT Sold Report lists the members who were sold PT for a given range and provides the latest sale of PT for the member. PT Sold Report
Schedule Audit Report This report provides data on past events (listed by attendee) and whether they were completed, validated, and funded. Schedule Audit Report

Reports Exclusive to Clubs with Training Management Features

Accrual Revenue Report The Accrual Revenue Report lists revenue from transactions with a 'Success' or 'Pending Success' status from ABC. This report can be filtered by date range, location, and employee.   Accrual Revenue Report
Cancellation Report The Cancellation Report lists the details of agreements that were manually cancelled during a selected date range. It does not include agreements that were automatically cancelled due to being rewritten.   Cancellation Report
Commission Report

The Commission Report calculates staff commissions for a selected date range and can be filtered by Location and Employee. If you select "All Employees", the report will contain a summary tab for the entire location and display the data for each employee on separate tabs.  

The Commission Report can be accessed from both the Reports and Package Setup areas of Club OS. It is automatically generated in the Package Setup area every pay period, or can be customized in the Reports area.

Employee Active Clients Report This report identifies club members who have remaining (unused and unexpired) units in their service package agreements. Employee Active Client Report
Frozen Agreements Report This report lists agreements with active, current freezes or scheduled future freezes. Lists of active and future freezes each appear on their own tab. The report can be filtered by location and/or employee. Frozen Agreements Report
Member Service Sales Report The Member Service Sales Report summarizes all member services sold within a given date range, including individuals' names, their package, member service types, pricing and billing information.

Package Sales Summary Report

The Package Sales Summary Report summarizes package sales over the selected date range.  The report is separated in to two sections:  

  • New Agreements 
  • Rewritten Agreements

Each report include data on:

  • Member Names
  • Package Names
  • Member Service Names
  • Contract information / Agreement information
  • Salesperson Information
  • Auto-Renew Status
Package Sales Summary Report
Projections Report The Projections Report details projected revenue over a selected date range, based on all currently active Personal Training agreements.   Use this report to gather information on future payments, and remaining balances. Projections Report
PT Scheduled Draft Report

This report provides information on PT drafts within a given time range, on drafts that will be sent to ABC to process.  Invoice types include:

Invoice Type: 

  • Recurring
  • Integration
  • Cancellation
  • Down Payment

Expected Sub Total: Expected total amount to be drafted.

Transaction ID: ABC financial transaction ID (if the transaction has already been drafted). This field will be blank for drafts with dates in the future.

PT Transactions Report

This report details transaction attempts and their outcomes over a selected date range, and can be filtered by location.  Data includes:

  • Date of payment attempt
  • Information about the transaction (amount, type, tax if applied to invoice, etc.)
  • Response message on the success of connecting to the card-issuing bank (like a credit-card approval)
  • Settlement response from the Card-issuing bank (like when funds are actually transferred from one bank to another).

Renewal Report

The Renewal Report tracks the upcoming renewals and/or expirations of client Agreements and the club's most recent activity with those clients. Agreements are listed in three different renewal categories, on their own tabs: 

  • Non-Auto-Renew, 
  • Auto-Renew Term (agreements that renew according to a term)
  • Auto-Renew Open (agreements that renew on a billing cycle).

Summary Accrual Revenue Report

The Summary Accrual Revenue Report lists revenue from transactions with a 'Success' or 'Pending Success' status from ABC.  

 

The Summary Accrual Revenue Report adjusts its data as invoice status changes over time - From initial approval of funds available, all the way through to settlement.  

 

Use this report to track your revenue by payment status.

Trainer Liability Report

The Trainer Liability Report lists information about the current standing of Member agreements and their session usage and funding. Unlike most reports in Club OS, this report cannot be run for a selected date range - it provides current, real-time information only.

A member will appear on this report if:

  • They have expired sessions.
  • They have sessions that have been comped or paid for, but not used.
  • They have used sessions that have not been comped or paid for. 

For an event to appear on this report (in the Completed Sessions Paid/Not Paid columns), the event must contain:

  1.  a member service    
    AND
  2. be set to a chargeable status

Unpaid Invoices Report

The Unpaid Invoice Report contains four tabs: 

  1. Summary: the total quantity and cost of a club or club location’s current unpaid invoices.
  2. Unpaid Invoices: Lists all unpaid invoices at a club or location with ‘Past Due’, ‘Still Attempting’, ‘Delinquent’, or ‘Chargeback’ status.
  3. Payment Attempts:  This tab is similar to the Unpaid Invoices tab and breaks down each payment attempt made towards Unpaid Invoices.
  4. Written-Off Invoices: This tab lists all unpaid invoices with a written-off status.

Vitals Report

The Vitals Report provides key KPI’s in one report. The report will give visibility to key metrics such as how the club’s membership and training programs are running without needing to pull and review multiple reports.

 

NOTE:  The Vitals Report can only be pulled for a location’s data. It will not be able to be pulled on an employee basis.
