Overview
The Avigilon Alta/Openpath integration allows your club to manage door access automatically based on member status in ClubOS. When this integration is enabled, ClubOS syncs member information to Openpath so that your door system always reflects the current state of your membership data — no manual maintenance required.
With this integration in place:
- Active members are automatically granted access to the club
- Suspended, frozen, or past-due members are automatically denied access
- Cancelled or expired memberships have access removed immediately
- Mobile and card/fob credentials are managed directly from Member Management in ClubOS
- Door activity (access granted or denied) is recorded in real time and sent back to ClubOS for reporting and visibility
This integration is fully event-driven, meaning changes in ClubOS take effect in Openpath as quickly as possible — staff no longer need to manage access in two separate systems.

How the Integration Works
1. Member Data Sync
When a member is created or updated in ClubOS, their information is automatically synced to Openpath. A corresponding Openpath user is created (or updated if they already exist), and access permissions are assigned based on:
- Club restrictions defined on the member's account
- Membership status (active, suspended, past due, etc.)
- Term/offer configuration, including any access groups assigned during enrollment
The sync happens automatically in the background. There is no action required from staff for day-to-day updates.
2. Access Groups & Locations
In Openpath, physical access is controlled using:
- Sites — Physical club locations
- Zones — Areas within a club (e.g., entrance, gym floor, pool)
- Access Groups — Permission groups that define which doors a member can access
ClubOS maps members to the appropriate Openpath access groups based on their club access and membership configuration. This mapping is set up during onboarding and will be visible in Member Management anywhere that club restrictions can be set.
When new members are enrolled — through Member Enrollment or Online Join — they are automatically assigned to the access groups tied to their offer. This means members can access the facility immediately after signing up, without any additional steps from staff.
3. Credentials (How Members Enter)
ClubOS currently supports two types of door credentials:
Mobile Credential
Members receive an email invitation from Openpath or MyClubAccess (depending on your club's configuration) and download the applicable mobile app. Once activated, their phone becomes their access credential. Depending on your setup, doors may unlock automatically when approaching.
Card / Fob Credential
A physical access card or key fob. Members tap the card or fob on the reader to gain entry.
Supported card/fob types include:
- Avigilon Alta/Openpath DESFIRE card/fob credentials
- Wiegand (Prox 26-bit only)

Member Access Rules
Member access is automatically controlled based on their current status in ClubOS.
Active Member: Access is granted to assigned clubs and access groups.
Frozen Membership: Access is denied during the access freeze period. Access automatically restores when the freeze ends.
Past Due Accounts:
By default, the following rules determine whether an account is considered past due:
- For accounts billing with a Credit Card or EFT on file, the account will not be considered past due until after automated payment collection has been attempted. This prevents members from being blocked due to due dates that fall on holidays or weekends before billing has run.
- For accounts billing on Statement with a next due date in the past, the account is considered past due immediately, as these accounts are not included in automated billing.
Clubs may optionally configure a grace period. For more information, refer to the Check-In Client Preferences help article.
- If a grace period is set and the member's past-due balance falls within that window, a warning is displayed but access is still granted.
- If no grace period is set (blank or zero), or the member is beyond the grace period, access is denied.
Suspended Member: Access is denied.
Cancelled / Expired / Returned Membership: Access is denied. Access is removed at the beginning of the day on the cancellation or expiration date.
When any of these conditions are resolved — for example, a past-due member makes a payment — their access is restored in Openpath immediately.
Real-Time Door Events
When a member attempts entry, the Avigilon Alta/Openpath controller determines whether access should be granted and unlocks or denies the door. That event is then sent back to ClubOS in real time.
In ClubOS, this means:
- The check-in (successful or unsuccessful) appears immediately in Online Check-In
- If access was denied, the reason is displayed on the check-in screen
- If the member has any active warning alerts (recent duplicate check-in, missing photo, membership expiring within 30 days, expired payment method), those warnings appear alongside the check-in record
- The check-in is available in ASF attendance reporting with no duplication
Event Timing
- Access granted events are typically real-time.
- Access denied events may experience a slight delay (a few seconds) due to Openpath processing.
Managing Credentials in ClubOS
Staff with the Manage Access Credentials permission can add and remove door access credentials directly from a member's profile in Member Management.
Note: The Access Credentials panel is only available for members who have an email address on file, since Openpath links members by email.
Adding a Mobile Credential
- Open the member profile in Member Management.
- Navigate to the Access Credentials panel.
- Click Add Credential and select Mobile from the Type dropdown.
- Click Save.
- The member will receive an activation email with instructions to set up their mobile access.
- If the credential shows as Pending, the member has not yet activated their mobile access.
Adding a Card/Fob
- Open the member profile in Member Management.
- Navigate to the Access Credentials panel.
- Click Add Credential and select Card from the Type dropdown.
- Enter the Card ID.
- Click Save.
- The card is immediately associated with the member in Openpath.
Removing or Reassigning Cards
Openpath allows only one user per organization to have a specific card ID. If you attempt to assign a card that is already in use by another member, you must first remove it from the previous member's profile before assigning it to the new member.
Managing Access Groups in ClubOS
Access groups determine which doors or areas of the club a member can enter. They are defined in Openpath and mapped to your ClubOS club locations during the initial setup process. Once mapped, you can assign and update access groups in two places: on membership offers (so new members get the right access automatically) and on individual member profiles (to make changes after enrollment).
Setting Access Groups on Offers
Access groups can be configured directly in Offer Builder so that any member who enrolls using that offer is automatically assigned the correct door access at the time of signup. This applies to enrollments completed through Member Enrollment and Online Join.
- Navigate to Offer Builder → Offer Details.
- Locate the Club Access section.
- Select the club location(s) and their corresponding Openpath access groups.
- Save the offer.
When a member is enrolled on this offer, ClubOS will automatically assign them to the selected access groups in Openpath. No additional steps are needed.
Note: If Openpath access groups are not configured on the offer, the Club Access menu will fall back to standard club restriction behavior.
Viewing and Updating Access Groups on a Member
After enrollment, a member's access group assignments can be reviewed and updated from their profile in Member Management. Changes sync to Openpath immediately.
At the account level (applies to all members on the account):
- Open the member profile in Member Management.
- Navigate to Billing → Club Restrictions.
- Select or deselect the club locations and their associated access groups.
- Save your changes.
At the individual member level (overrides the account default):
- Open the member profile in Member Management.
- Navigate to Account Info → Edit Profile.
- Update the Club Restrictions for that specific member.
- Save your changes.
When member-level club restrictions are set, they take precedence over the account-level defaults. This is useful for households or shared accounts where different members need different access levels.

Note: If a member attempts to enter a club location or area that is not included in their assigned access groups, Openpath will deny access and a problem attendance record will be created in ClubOS.
Important Limitations & Best Practices
⚠️ Email Addresses Must Be Unique
Avigilon Alta/Openpath requires that email addresses be unique within an organization. If multiple ClubOS members share the same email address, they will be linked to the same Openpath user, which can cause issues when accessing the club.
Best Practice: Always use unique email addresses for each member. ClubOS will warn staff when duplicate emails are detected during member enrollment or profile updates.
Controller Sync Timing
Openpath controllers store access data locally on the device. When changes are made in ClubOS:
- Updates are sent to Openpath immediately.
- The controller may take a short time to sync the new data.
- During this brief window, a member's previous access state may still apply.
This is expected behavior and typically resolves within seconds. In the event of an internet or power outage, the sync may be delayed until connectivity is restored.
Frequently Asked Questions
Does the door system depend on ClubOS being online?
No. Openpath controllers operate independently. If ClubOS is temporarily unavailable, door access continues to function based on the last synced data.
Can we reuse existing hardware?
Openpath supports many industry standards. Currently, ClubOS officially supports mobile credentials, Openpath DESFIRE card/fob credentials, and Wiegand (Prox 26-bit only). Hardware compatibility should be confirmed during implementation.
What happens if we change a member's club access in ClubOS?
Access groups update automatically in Openpath. The change takes effect as quickly as the controller can sync.
What happens if we deactivate or cancel a member?
Access is removed automatically. No action is needed in Openpath.
Can a member be blocked from one location but not another?
Yes. Club restrictions in Member Management define which locations and access groups a member is assigned to. If a member attempts to check in at a location they are not assigned to, access is denied by Openpath and a problem attendance record is created in ClubOS.
What if a past-due member pays online — do they get access right away?
Yes. When a payment resolves a past-due balance — whether through the member portal, a POS transaction, mobile app payment, or batch billing — access is restored in Openpath immediately.
Does this affect check-in reporting in ClubOS?
Yes, door access events (granted and denied) are sent back to ClubOS and appear in Online Check-In and attendance reporting in real time.
